Applicant Privacy Policy
How we collect, use, retain, and protect personal data about candidates applying to PRA-G Unit.
PRA-G Unit (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains our practices when processing personal data about job applicants and candidates (“you”). If you are hired, processing of your personal data will be governed by our employee privacy notice.
1) Personal Data We Collect
- Identity & contact: name, email, phone, city/country, social/portfolio links.
- Application materials: résumé/CV, cover letter, certifications, transcripts, portfolio or code samples.
- Recruitment details: role applied for, experience, availability, salary expectations, how you heard about us.
- Interview & communication data: scheduling, emails/messages with us, interviewer notes and assessments.
- References & verification: information from referees or background checks where permitted and with notice.
- Device/usage (when applying online): IP address, browser type, and basic analytics (see Cookies).
2) How We Use Your Personal Data
- Evaluate your suitability and manage the recruitment process.
- Communicate with you and schedule interviews.
- Conduct reference or background checks where lawful and appropriate.
- Comply with legal requirements and exercise/defend legal claims.
- With your consent, keep your profile for future opportunities.
3) Legal Bases for Processing
Depending on your location, we rely on one or more of the following: your consent; steps prior to entering into a contract; our legitimate interests in recruiting qualified candidates (not overridden by your rights); and compliance with legal obligations. For Saudi Arabia, we align with the PDPL and implementing regulations.
4) Sharing & Disclosure
We limit access to those who need it to perform recruitment activities.
- Internal teams: HR, recruitment, hiring managers, interviewers.
- Service providers: applicant tracking, cloud hosting, email, scheduling, and analytics—bound by confidentiality and data-processing terms.
- Authorities: where required by law or to protect rights and safety.
We do not sell your personal data.
5) International Transfers
Your data may be processed in countries where we or our providers operate (e.g., Saudi Arabia, the United States, Pakistan). Where required, we implement appropriate safeguards (such as contractual clauses and access controls) to protect your data.
6) Data Retention
We retain personal data only as long as necessary for recruitment and legal purposes. If your application is unsuccessful, we will delete or anonymise your data after a reasonable period (typically up to 12 months) unless you consent to a longer talent-pool retention or a longer period is required by law.
7) Your Rights
Subject to applicable law, you may have rights to access, correct, delete, or restrict processing of your data; object to certain processing; and withdraw consent at any time (without affecting prior processing). You may also have the right to lodge a complaint with a relevant data protection authority.
8) Security
We use technical and organisational measures that are designed to protect your data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. Access is restricted to authorised personnel.
9) Cookies & Analytics
Our careers and contact forms may use minimal cookies and basic analytics to ensure site functionality, prevent spam, and understand aggregate usage (e.g., page views). You can adjust your browser settings to manage cookies. See our website cookie notice if available.
10) Children
We do not knowingly collect applicant data from individuals under the age of 18. If you believe a minor has provided data, please contact us and we will take appropriate steps.
